New Features¶
New Demand Capacity Planning¶
The new Demand Capacity Planning functionality extends WFM One with a central capability for demand-driven capacity planning.
Workforce demand can be compared directly with available or already planned capacity. This provides early visibility into where workplaces are understaffed or overstaffed and where planning action is required.
Features - display of workforce demand by planning area and workplace - analysis of demand by day and shift - comparison of demand and planned capacity - visualization of undercoverage and overcoverage - planning and analysis based on FTE - integration of demand planning and workforce planning
Demand Capacity Planning therefore provides a shared view of workforce demand, available capacity, and the resulting planning situation.
New Qualification Management¶
Qualification Management has been significantly extended and developed into a dedicated functional area.
Qualifications can be defined in a structured way, assigned to employees, and linked to specific requirements at workplaces.
Features - definition and management of qualifications - assignment of qualifications to employees - definition of qualification requirements for workplaces - support for different qualification levels - qualification checks within workforce planning - direct integration with Daily Dispatch - identification of missing qualifications - mandatory consideration of required qualifications during workforce assignment
Qualifications can therefore not only be documented, but also taken directly into account when employees are planned and assigned.
New Daily Dispatch¶
The new Daily Dispatch provides a powerful interface for short-term, demand-driven workforce allocation.
Current staffing, available employee capacity, and workforce demand are directly connected. Employees can be reassigned using drag & drop, distributed across multiple workplaces proportionally, or allocated according to demand using automated optimization functions.
Features - daily assignment of employees to workplaces - intuitive reassignment using drag & drop - direct comparison of workforce demand and current staffing - live display of FTE coverage per workplace - visual representation of undercoverage, exact coverage, and overcoverage - consideration of the employee's actual available capacity - proportional and parallel assignment of an employee to multiple workplaces - transparent display of percentages and resulting FTE values - consideration of qualifications and workplace requirements - mandatory validation of required qualifications during assignment - direct consideration of absences - support for flexible employee and workplace pools - rapid response to short-term changes in workforce allocation
AutoFit – Automatic Demand-Based Allocation
With AutoFit, available employee capacity can automatically be distributed across suitable workplaces.
The current demand situation is taken into account so that available capacity can be allocated specifically where it is required.
AutoFit supports - automatic distribution of available capacity across multiple workplaces - proportional assignment of an employee - allocation based on undercoverage and required FTE - fast distribution without manual individual assignments
Optimizer – Intelligent Optimization of Daily Planning
The integrated Optimizer analyzes the current planning situation and generates proposals for an optimized distribution of available employee capacity.
Existing assignments, available capacity, demand, and potential target workplaces are evaluated together.
Optimization proposals include - the employee's current assignment - available capacity - proposed target workplaces - the recommended percentage allocation - the resulting FTE - distributed and remaining capacity
The proposed changes can be reviewed transparently before further use.
Daily Dispatch therefore combines workforce demand, current staffing, qualifications, availability, and automated optimization within a single planning interface.
New Absence Management¶
Absence Management has been significantly enhanced and more closely integrated with workforce planning.
Absences can be managed centrally and directly taken into account within the relevant planning processes.
Features - centralized management of absences - support for different absence types - direct consideration of absences in workforce planning - display of absent employees in Daily Dispatch - consideration of actual employee availability when calculating demand coverage - direct processing of absences within the planning process
Availability, absences, and workforce planning are therefore available within a shared planning context.
ESS: New Annual View for the Personal Work Schedule¶
A new annual view is now available for the personal work schedule within the ESS.
The annual view gives employees a quick overview of their planned assignments across the entire calendar year.
ESS: iCal Calendar Export for the Personal Work Schedule¶
The personal work schedule in the ESS can now be exported as an iCal calendar.
This allows planned assignments to be transferred to compatible calendar applications and displayed together with personal appointments.
WFM One Display: Shift Type Filter and Weekly Rotation¶
The WFM One Display has been extended with additional configuration options.
New features - filtering of displayed information by shift type - configuration of weekly rotation
This allows the WFM One Display to be adapted more precisely to the respective use case.
Access Control: New Dashboard Widgets¶
The Access Control area has been extended with four new dashboard widgets.
They provide a compact overview of access events, denied access attempts, frequently used access points, and expiring access cards.
The widgets are available both in the Access Control overview and in the configurable dashboard. Clicking on the displayed values takes users directly to the corresponding bookings or records.
New widgets - Access Activity: Displays granted access events by hour of day within the selected time period. Clicking on an hour opens the Access list filtered to the corresponding time range. - Most Common Denial Reasons: Shows the most frequent reasons why access was denied. Clicking on a denial reason opens the Events list with the corresponding status filter applied. - Most Frequently Used Access Points: Displays the ten access locations with the highest number of recorded access events. Clicking on a location filters the bookings to the selected access point. Access events without a unique location assignment are shown separately as an informational count. - Access Cards Expiring Soon: Displays active access cards that will expire within the next 7 or 30 days. In addition to the number of expiring cards, the respective expiration dates are shown. Clicking on a card opens the corresponding record directly in the Identification tab.
Auxiliary Scenarios for Demand Planning¶
Demand can be displayed based on a scenario. With the new auxiliary scenarios, there is now an additional option for mapping future demand and capacities across the entire planning horizon.
The auxiliary scenarios operate independently of the operational scenario selection used in workforce planning. This allows future demand to be reviewed across scenarios without affecting the currently used planning scenario.
Features - Unlimited number of auxiliary scenarios: Based on a scenario template with the required parameters, any number of auxiliary scenarios can be created and managed. These scenarios are made available to all users within the respective tenant. - Individual demand view per user: Each user can select an available auxiliary scenario in their demand view. This selection is independent of the scenario selected in operational planning and is stored individually for each user. - Automatic updates: A dedicated update interval can be defined for each auxiliary scenario. Based on this interval, the respective auxiliary scenario is regenerated automatically on a regular basis. - Efficient updates when changes occur: When changes are made, only the affected time periods are recalculated. This avoids the need to regenerate the entire planning horizon.
Multiple auxiliary scenarios can be managed centrally within the demand view of workforce planning.
Technical auxiliary scenarios do not appear in the regular scenario selection used for workforce planning. This keeps the existing scenario selection clear and separate from the demand planning view.
Demand Display: Fully Configurable Colors¶
The colors used within the demand display can now be configured individually.
In addition to a central tenant default, users can customize the display for their own personal view.
Configuration options - definition of a central tenant default - individual override of the tenant default by each user - configurable base colors for undercoverage, exact coverage, and overcoverage - definition of additional thresholds for further color levels - ability to link the total color in the demand header to the demand colors - alternatively, individual color configuration for the total display - optional dynamic color gradient for more detailed visual differentiation
This makes different demand and coverage situations easier to identify visually.
Activities: Marking Activities as Non-Productive¶
Activities can now be marked as non-productive.
This can be used, for example, to represent breaks or other activities during which an employee is present but should not be counted as productive capacity.
Effects - employees assigned to a non-productive activity are not included in the total number of present employees - breaks and comparable activities can therefore be represented more accurately in demand and capacity calculations
Demand: Multiple Selection of Workplaces and Planning Areas¶
Multiple workplaces or planning areas can now be selected within a single demand definition.
This makes it possible to define more flexibly which employees are able to cover a particular demand.
Options - a demand can be covered by employees from multiple workplaces - multiple planning areas can be considered jointly for one demand - demand definitions can be adapted more flexibly to organizational and operational structures
Demand: Multiple Demand Types Within a Single Demand¶
Multiple demand types can now be assigned to a single demand definition.
For example, multiple shift types can be permitted for the same demand.
A demand can therefore be defined so that a specific shift is not required, as long as a suitable employee is available at some point during the respective day.
This enables more flexible workforce demand definitions and extends the options available for determining demand coverage.
Improvements¶
Planning: Optimized Change Planning¶
The Change Planning functionality in WFM One has been comprehensively revised.
The dialog for entering planning changes now provides improved user guidance, additional functionality, and a clearer structure.
